Admissions. The staff assistant will be the first point of contact for those coming to the Admissions office. The staff assistant will greet office visitors, answer phone and email information requests, and provide administrative support to The Duke MBA Daytime and Executive MBA Programs. Working in an administrative team environment, the Staff Assistant reports to the Office Manager. This position will enter prospect data into databases, ensuring all new mail inquiries are logged. Fulfillment of outgoing mail, including inquiry packets and FedEx shipments. Maintaining office inventory: supplies, kitchen supplies, publications, gifts for alumni and prospective students, info session materials. Maintaining staff information (travel itineraries, home contact info, birthday list, etc.). Taking and distributing notes at staff meetings. Reserving conference room spaces. Building Assistant, Level 7 (400201408)
Building Management Office. Building management of the current 378,500 square foot Fuqua School of Business is accomplished through the Building Management Office which includes a Fuqua staff of nine, a vendor staff (course packs, carpet, paint, …), and currently 17 full time housekeepers which report through a supervisor to the Director of Facilities & Infrastructure. Fuqua's Maintenance & Relocation Building Assistant reports directly to the Assistant Building Manager, and performs various tasks relating to the daily activities of the Fuqua School of Business along with general M&R of our facility. Position schedule will fluctuate due to event schedules and daily building needs. Some evening and weekend work may be required. Administrative Assistant (Staff Assistant), Level 8 (400211901)
Global Sales. The Administrative Assistant will be a member of a team of experienced professionals who advance the global sales and business development strategies at the school. The Administrative Assistant is required to resolve complex administrative problems independently. This position performs diverse scheduling, travel arrangements, budgeting and is responsible for managing logistics for all members of the team. As a member of the Global Sales team, the Administrative Assistant will report directly to the Assistant Dean for Global Sales & Training. This position will also work closely with the Assistant Deans of Marketing, Admissions, Career Management and other related areas. Additionally, the Administrative Assistant will have secondary responsibility to support to the Executive Education Client Relations Coordinator, answering incoming calls and responding proactively to phone and email inquiries as necessary. An undergraduate degree is preferred along with five years of administrative experience of increasing variety and/or complexity. Admissions. The Operations Coordinator will participate in a team effort to market, recruit, and select students for The Duke MBA programs. Manage communication and processing for all post-decision groups (admitted students, waitlisted students, and denied applicants). Spearhead the check for completeness effort for application deadlines, act as backup application processor during peak times, and provide support for admission committee and decision communication. Report to Senior Associate Director of Operations – Services and Processing. Undergraduate degree desirable. Building Management Office (BMO). The Data Manager is responsible for the administration, maintenance, and data integrity of the Fuqua Building Management databases including the Resource 25 database and other local databases. Responsibilities include Resource 25 data management; creating and managing Resource 25 queries; creating and managing reports; training for employees; analyzing, identifying, and providing solutions where processes need to be improved; and supporting/assisting all Fuqua offices in their need for data regarding space management. Admissions. The Admissions Counselor serves as one of the primary points of contact for all Duke MBA Admissions inquiries. This position is responsible for receiving and responding to general inquiries originating from phone calls, walk-ins, e-mail requests, and Information Sessions. Specifically serving as the primary contact for a particular program's inquiries, it is expected that an Admissions Counselor will be cross-trained to handle inquiries about all MBA programs – Global, Weekend, Daytime and Cross Continent. As a member of the inquiry management team, the Admissions Counselor executes day-to-day responsibilities that focus on inquiry management strategies necessary to obtain the desired enrollment for a specific program. Technical Support Center. The Technical Support Specialist positions are the front-line contact and IT support resource for end-users at the school. These positions require excellent communication and technology skills in order effectively answer technical questions and solve first level issues over the phone, via email or with walk-in customers; or triage and route issues to the correct internal or external resource and monitor issues until resolved. The position must contribute to providing a high-level customer service experience for students, faculty, and staff members. This position is also responsible for dispatching technical support to Fuqua's classrooms, team rooms, and other public areas at the School and may also have responsibility for maintenance and repair of printers and computers in the MBA Computing Space. The Technical Support Specialist is expected to gain mastery of Fuqua specific applications and technologies . The ideal candidate will also be able to: (1) configure, deploy, and maintain Windows workstations, (2) identify, install, configure, and upgrade software, (3) identify, install, configure, and upgrade hardware, and (4) utilize request system software. The following are also preferred: current professional certification in Microsoft operating systems and/or applications; current A+ or Network+ certification; a strong customer service background; and familiarity with the Microsoft Office suite, web browsers, email clients, anti-virus, and anti-spyware tools. Development and Alumni Relations. The Assistant Director, Annual Giving manages Fuqua's annual giving and the Daytime MBA class gift program, including personal solicitation and volunteer management. The Assistant Director develops and implements fundraising activities to ensure the solicitation of all Daytime MBA students with a specific focus on increasing the number of high-end, multi-year commitments. S/he creates a volunteer structure to encourage student ownership of and involvement in Fuqua's class gift program through peer to peer solicitation. The Assistant Director, Annual Giving reports to the Director of Annual Giving and collaborates with the Development and Alumni Relations department (DAR) and other Fuqua and Duke University departments on overall strategy, initiatives and events.
